The Lease Administrator (LA) is primarily responsible for the lease administration for BOKF's corporate real estate portfolio. This includes maintaining both the hard copy and electronic files for all leases, as well as real estate contracts; preparing the monthly and annual reports, overseeing the reconciliation of all expense leases; and prepare operating expense reconciliations for a small number of revenue leases. In addition, the LA role will respond to all building insurance requests and will maintain the department's insurance report.
PRINCIPLE DUTIES AND RESPONSIBILITIES:
:Administers BOKF's real estate portfolio. Abstracts new leases and renewals, inputs critical data, reports general obligations of business units and ensures required insurance is met and maintained.
:Administrate the existing Integrated Workplace Management System (IWMS), focused on corporate real estate and facilities management operations. Creates reports utilizing IWMS data base system. Enters information to be maintained in the IWMS and regularly audits information to ensure accuracy. Generates and distributes reports from the IWMS. Customizes reports based on information required.
:Responds to landlord/tenant inquiries with written correspondence in order to facilitate lease commitments. Serves as primary BOKF contact for payment issues and preserves good tenant relationships by ensuring all lease documentation terms are faithfully followed.
:Gathers yearly expense data from division controller to establish yearly property operating cost; and subsequently prepare BOKF tenant lease reconciliations.
:Processes vendor billings and expense claims according to Corporate Accounting policies and procedures; resolves billing irregularities. Assists in preparation of budgets and forecasting; reviews and resolves budget variances for administrative activities.

:Excellent PC skills including spreadsheet and word processing applications
:Strong organizational, analytical, and planning skills

:Ability to problem solve independently
:Must have a technical aptitude for understanding the system requirements of the current IWMS software.
:Drive software implementation processes on behalf of the department for future IWMS system(s) integration
:Requires advanced technical and systems knowledge
:Experience testing applications systems helpful
This level of knowledge is normally acquired through a Bachelor's Degree with 3:5 years job related experience in lease administration and/or property management experience; or 9:11 years related work experience.
