Job Description Jenks, OK - Searching for the newest addition to our Gateway Mortgage Group family! This Accounting Assistant will be assisting our Executive Assistant & Accountant to the CEO - EXTREME ORGANIZATION and PUNCTUALITY are key! Accounting Assistant JOB SUMMARY : Under general direction, provides high-level administrative support to the Executive Assistant & Accountant to CEO and assists with small business and financial related functions. Provides a variety of responsible secretarial, technical, and administrative functions; performs other related duties as assigned. The CEO has several businesses outside of Gateway and this position assists with various administrative functions related to the other businesses. Accounting Assistant ESSENTIAL FUNCTIONS (RESPONSIBILITIES): Supports the Executive Assistant & Accountant to CEO in daily administrative assignments including running errands as needed. Reviews and responds to all incoming emails including highly confidential emails and critical information on a daily basis. Organizes and maintains both electronic and manual files for the CEO’s office. Participates in the development and maintenance of automated and manual files for the office. Records daily transactions and reconciles bank accounts utilizing QuickBooks for multiple entities. Assists in accounts payable and accounts receivables for multiple entities. Works with the General Counsel in the review of individual and business insurance policies. Interacts with external agents on premium payments and policy renewals; prepares summary reports to the CEO explaining coverage options, costs, and advantages and disadvantages to comparable coverages. Assists in reviewing and interpreting various buying/selling contracts, closing statements, and other legal documents as needed. Assists in monthly invoicing for multiple entities. Attends meetings with the CEO, as requested, take minutes/notes, and prepares summaries of meeting activities and outcomes. Prepares periodic summary reports and analyses on the activities of organizations in which the CEO is involved. Serves as backup to other Administrative Assistant’s to executive management. Performs related responsibilities as required or assigned. Accounting Assistant REQUIRED QUALIFICATIONS: Knowledge/Skills/Abilities High level of confidentiality. Works well under pressure and demonstrates the ability to be a dedicated team player. Excellent oral and written skills with the ability to interact with and relate to all levels of personnel with the organization as well as external business contacts. Demonstrate computer and software proficiency in QuickBooks and advance competence in Microsoft Office Excel, Word, Outlook; Adobe Acrobat programs and internet research. Resourceful with the ability to think creatively, utilize resources, seek and consider alternatives, and find or develop better ways of doing things. Professional and polished, with the ability to represent the CEO at high levels both inside and outside the organization. Personable, outgoing, and upbeat, with the ability to quickly develop rapport in new situations and to build effective working relationships with personnel at all levels. Highly organized, accurate and detailed with the ability to multitask and to help the Executive Assistant stay on top of daily activities. Flexible with demonstrated ability to anticipate needs and requirements and to be responsive to new and changing assignments, even when limited notice is provided. Knowledge of project planning and management, with demonstrated initiative and successful management of multiple projects. Equivalent Education/Experience Prefer a Bachelor’s Degree in Finance, Accounting or a related discipline. At least 2-5 years of progressively responsible related experience. Knowledge of small business bookkeeping. Prefer knowledge of insurance products. Prefer Tax/Legal/Banking/Investment experience.
